Selecting a meeting chair
In order to ensure accuracy and to make sure that multiple IT staff are not working on setting up the same conference, IT requires a single point of contact. The Meeting Chair is responsible for relaying all relevant information to participants (date, time, location, call in numbers, etc.).
Booking videoconference capable meeting rooms
You are responsible for booking all your own meeting rooms. Make sure booked rooms have video conferencing equipment installed or that a portable system has been booked to be in the room at the time of the meeting.
Participants located outside of Resolution and Court Administration Services
Our Videoconferencing network is isolated from the rest of Government and the Public to ensure high security. This requires special procedures when connecting to outside participants and may result in additional delays if call connection validation is required before the conference takes place. When booking a meeting with a contact outside of Resolution and Court Administration Services you need to include the contact information of the technical contact that can help IT setup the outside location.
Notification guidelines
Videoconferencing involving courtroom matters will always take precedence over all other types of calls.
The videoconference coordinators are very busy and we need cooperation with all users to follow these suggested guidelines.
If the guidelines are not followed, complex conferences might not proceed if testing and booking of equipment hasn’t been done well enough in advance.
Cancellations
To cancel a booking please access the link on your booking confirmation e-mail and select the Cancel button. The room booking coordinator will also need to be notified of the cancellation as the room and videoconference are booked separately. To re-schedule a videoconference, please cancel the existing booking and submit a new booking request.
