Videoconference Courtroom Booking Terms

ALBERTA VIDEOCONFERENCE FACILITIES ARE NOT AVAILABLE FOR USE BY LITIGANTS IN NON-ALBERTA COURT MATTERS.

  1. Counsel are requested to provide 30 days notice when booking a videoconference.
  2. A Justice/Judge must approve the videoconference prior to it taking place.
  3. Counsel shall notify the Videoconference Coordinator immediately in the event a videoconference is no longer required. To cancel a booking please access the link on your booking confirmation e-mail and select the cancel button. If less than 48 hours cancellation notice is given, the entire amount of the booking may be payable. If the date has been adjourned, please cancel the old booking and submit a new request for the new date.
  4. Do not book the start time any earlier than 10:00 a.m. if the matter is scheduled in assignment court.
  5. Rooms are booked on an hourly basis so it is important that counsel provide an exact start time and how long the room will be required for. An hourly facility fee, scheduling fee, applicable taxes, line charges, and any overtime charges comprise the cost of a videoconference call. Time zones must be considered to allow the witness at the far location to attend at a reasonable time. Facilities that are available beyond regular business hours usually have costly overtime fees.
  6. The Videoconference Coordinator will provide to counsel the location of the videoconference facility that the witness is to attend at. It is the responsibility of counsel to provide to the witness the videoconference facility location and to ensure that they have any documents that they may be referred to while testifying.
  7. The party requesting the videoconference will be responsible for payment of any fees.

It is important that the videoconference commences close to the booked time. Videoconferences are booked in studios or courthouses that may have other matters proceeding in their facilities immediately after the booked time.

If there is going to be a delay in connecting to the far site, please have the clerk or the Videoconference Coordinator contact the site to advise them of when the conference is expected to start. If there is a lengthy delay and witnesses have not been advised of the status, they will often leave the facility assuming that they are no longer required. If the videoconference is canceled on the day of court, the far site booking must be canceled as well as the witness being called off. Please have the clerk or Videoconference Coordinator contact the far site to cancel the booking. It is up to counsel to contact the witness.

Please note, the video conferencing department is not responsible for duplicate requests done in error. It is the responsibility of the submitting parties to ensure the required request is submitted only once.
